Finance and Operations Associate

Full-time Jakarta, Indonesia

ITDP Indonesia is seeking a Finance and Operations Associate on a full-time contract based in Jakarta. The Finance and Operation Associate will work closely with the Sr. Finance and Office Manager, the Southeast Asia Director, and other members of the team to manage the ITDP’s projects in the region.

PROJECT/WORK OVERVIEW

Based in Jakarta, the Finance and Operations Associate provide essential support to ITDP programs to make sure that the project is financially and operationally running. They will be expected to work creatively and communicate effectively with the ITDP employee, Headquarter – Director of Finance and Administration, Donors, and Vendors.

RESPONSIBILITIES

  • Improve the operational systems, processes, and policies in support of the organization’s mission – specifically, support better management reporting, information flow and management, business process, and organizational planning.
  • Manage and increase the effectiveness and efficiency of Support Services (HR, IT, and Finance), through improvements to each function as well as coordination and communication between support and business functions.
  • Oversee overall financial management, planning, systems, and controls.
  • Financial management of donors and financial allocations.
  • Management of the agency budget in coordination with the Executive Director.
  • Development of individual program budgets, and Monitor and Evaluation Progress against milestones and budget.
  • Manage and oversee the invoice to funding sources, timesheets, reimbursement, and organization of fiscal documents.
  • Manage employees and third-party contracts.
  • Assist the Sr. Finance and Office Manager in the Audit process (external or tax audit).
  • Coordinate with ITDP Headquarter- Finance Division to do a monthly call to update Indonesia program/project.
  • Create program/project budget for Project proposal and Budget vs Actual for Project closure.
  • Create effective travel management for ITDP Indonesia employees.
  • Assist communication or operational team in various events.
  • Oversee the Office Assistant’s in maintaining office assets.

QUALIFICATIONS

  • Bachelor’s degree (S1) in Finance, Accounting, Business Administration, Management, Economics, or related fields
  • At least 3 years of working experience in finance or accounting-related environments and/or accounts payable
  • Proficiency in Microsoft Office environment and familiarity with Rippling
  • Basic knowledge of accounting, including journal entries, general ledger, financial reports, and double-entry accounting
  • Ability to manage time efficiently, especially to discern and prioritize urgent requests
  • Strong communicator with excellent written, oral, and interpersonal communication skills
  • Strong attention to detail and problem-solving skills
  • Strong communication skills in Bahasa Indonesia and English (Business), both written and spoken
  • Proactive and able to work independently

General Affairs (GA) Assistant

ITDP Indonesia is seeking a General Affairs (GA) Assistant on a full-time contract based in Jakarta. This role offers an exciting opportunity to strengthen the operational foundations of a mission-driven NGO advancing sustainable and low-carbon transport in Indonesia, with the GA Assistant playing a key role in fostering a diverse, inclusive, and high-performing workplace.

PROJECT/WORK OVERVIEW

The General Affairs (GA) Assistant will support ITDP in managing office operational related activities, based on directions from Top Management, to ensure the provision of adequate practices as per internal and external regulations and standards.

RESPONSIBILITIES

1. General Office Administration

  • Manage daily office administration, including general documents and filing
  • Manage stationery supplies, pantry, and other operational needs
  • Coordinating office cleanliness and tidiness with Office Support and related vendors

2. Reception & Front Desk

  • Serving as the first point of contact for guests, vendors, and external parties
  • Managing package and document receipt and delivery
  • Handling phone calls and general employee inquiries

3. Recruitment & Employee Support

  • Supporting the job posting process
  • Moderating or supporting the interview process
  • Scheduling interviews and coordinating with relevant users
  • Coordinating internship programs
  • Supporting employee onboarding and offboarding processes

4. Travel & Event Administration

  • Booking tickets, hotels, and transportation for trips
  • Manage travel and event budget administration, including accountability reports
  • Support vendor management
  • Support the preparation and implementation of internal events

5. General Affairs & Facility Support

  • Manage office facility maintenance and coordinate with vendors
  • Monitor service contracts (internet, cleaning, security, etc.)
  • Support workplace management and asset arrangements

6. Administrative Reporting

  • Manage petty cash and employee reimbursements
  • Collect and check payment documents
  • Prepare operational reports and budget utilization reports
  • File transactions neatly and systematically

QUALIFICATIONS

  • Associate degree (D3) or bachelor’s degree (S1) in Business Administration, Management, Finance, Psychology, or related fields
  • 0-3 years of experience in office administration or general affairs
  • Fresh graduates are welcome to apply
  • Communicative, meticulous, and able to work in a dynamic environment
  • Proficiency in Microsoft Office (Word, Excel, Powerpoint)
  • Strong communication skills in Bahasa Indonesia and English (Business), both written and spoken
  • Excellent skills in coordination and service, problem-solving, teamwork, planning, and organizing
  • Proactive and able to work independently
